Reception duties will include:
Ensuring that all visitors are greeted, signed in, issued a visitors badge and dealt with by an appropriate member of staff in a professional manner
Creating and upgrading security passes for all staff, ensuring that a high level of security is maintained throughout
Sort and distribute incoming post, and arrange for outgoing post (including special items) to be taken for posting with minimum delay
Ensuring that all telephone and personal enquiries are recorded properly and answered pleasantly and efficiently
Accept deliveries from companies, advising relevant department/party of delivery or contacting the Facilities Manager to ensure deliveries are passed to relevant person on the same day
Arrange and monitor and schedule deliveries of outgoing parcels
Ordering and distribution of stationery and kitchen supplies
Monitor facilities and keep them in shape as needed (e.g. replenishing toilet rolls, hand towels, helping to manage cleaners etc)
Assist managers with clients' hospitality in the building and travel booking, carry out clerical tasks (printing, collating, filing, faxing, word processing) and clerical tasks attached to Facilities Management, or as directed by managers Assistant Facilities Manager duties will include:
Assisting the Facilities Manager with projects in and around the building
Regularly checking and maintaining gas, electricity and plumbing throughout the building and project managing any changes that need to take place
Collecting quotes for upgrading the maintenance of the building from multiple sources
Using initiative to book contractors when there is an emergency in the building
Think of facilities related initiatives to boost staff moral
Being the main point of contact for staff and external contractors in the part time Facilities Manager's absence, answering questions and queries and troubleshooting immediate issues within the building that cannot wait until the Facilities Manager's return
To train as Health and Safety officer alongside the Facilities Manager and keep up to date with Health and Safety legislation and notify the operations team of any relevant changes that may affect the way the company is run
To collate information in the Facilities Manager's absence that should be addressed by them on their return Person Specification: Skills, knowledge and ability Essential:
Confident communicator with an excellent telephone manner
Good level of literacy
Ability to use MS Word, Excel and be familiar with intranet setups
Ability to use the Internet for research and purchasing purposes
Good professional presentation
Ability to work on own initiative and monitor own workload
Ability to develop processes
Ability to prioritise workload Desirable:
Knowledge of Health & Safety legislation
Management skills Experience Essential:
Experience of working in an office environment
Experience of monitoring stock and stationery supplies
Experience of Project Management
Experience of taking quotes Desirable:
