Duties: • Act as a liaison between DIRECTOR and VIP clients, other team members, suppliers. • Provide DIRECTOR Assistance in managing communications ie. email, phone communications requiring appropriate screening and prioritising. • Assist DIRECTOR to prioritise activities according to importance and urgency • Maintain a supportive and organised work environment for the DIRECTOR with a view to minimising interruptions. • Monitor and maintain the "work in progress" of the DIRECTOR to ensure timely follow up and completion • Where required assist the DIRECTOR to manage interruptions to support effective time management and completion of scheduled activities according to required timeframes • Provide administrative support to DIRECTOR – eg. Document management, setting up systems, uploading documents and audio and videos to Provide support for handling accounts payable and raising invoices Manage Directors Calendar • Negotiate appointments with Mentors, VIP clients and team members • Schedule conf calls, team meetings & communicate to all • Proactively manage DIRECTOR's appointments weekly to ensure information accurate, phone #'s, addresses and directions are complete • Ensure that all client appointments are booked and that appropriate documents have been received before scheduling • Check for "sanity" to ensure schedule makes sense • Ensure director is fully prepared and equipped to handle diary appointments .. eg. Numbers, background info on clients, call details etc Manage VIP Clients and Mentoring Groups • Provide official VIP welcome (when client first joins a group and sometimes this will be required in person at VIP appointment days) • Co-ordinate agreements per specific package and ensure appropriate paperwork is returned and filed • Send and/or email packages fulfilment for all VIP clients (including some physical shipments for some clients) • Set up client information in various systems (shopping cart, smart sheets) • Be the main point of contact for VIP/Mentoring clients • Process and monitor payments – ensuring payments are made and overdue payments are followed up and processed • Manage client expectations re the programme, manage queries and assist in problem solving and issue resolution, book hotel rooms for meetings etc. • Ensure that contact information is properly managed for new clients Provide Support for Speaker Requests, Appearances, and VIP Client Meetings – Note personal and business support required • Review speaker/interview/event appearance requests. Determine level of opportunity. Screen proposals according to level of interest and priority. Provide appropriate response (ie say "no" nicely where necessary). • Booking/making travel arrangements – flights, accommodation, transport • Provide DIRECTOR assistance with travel preparation (both personal & business) • Travelling with DIRECTOR to events, appearances and VIP appointments • Negotiation with suppliers ie. Hotel, car service etc. • Meet and greet with VIP clients • Taking photos/snaps of DIRECTOR at events • Provide assistance at speaking events (eg. back of room support) Ability to provide support for event coordination • Locate appropriate venues in a timely manner and negotiate hotel contracts • Manage pre-event event requirements including registration, room block, food and beverage requirements, room sharing, and team/participant communication. • On-site event support and liaison with event management as required Assist DIRECTOR with personal activities ie: (may involve "out of hours work" during travel periods) • Making hair appointments • Salon/spa appointments • Book car servicing • Purchases and shopping • Purchasing of on-line gifts • Arranging dry cleaning of clothes • Preparation for overseas travel • Assisting with arranging child care support • Other personal life activities as required
