Payroll , Accounts & Facilities Manager BHTL - Weekly Payroll Function for Temporary Staff –using SAGE LINE 50 system a) Setting up of new starters on system b) Inputting any P45 or P9 details c) Receiving timesheets & inputting details onto both CANDATA and SAGE d) Production of payslips e) Producing weekly summary reports for entering onto Weekly Calcs spreadsheet. f) Paying Temps via LLoydsTSB on-line banking system g) Issuing of following weeks timesheets / and sending out of payslips h) Issuing +sending out of invoices to banks i) Updating data on SAGE j) Producing P45’S for leavers k) Submitting electronically data to HMRC for leavers/joiners l) Making sure system has required legislation software loaded. - Company Funding a) check daily the bank account for balances and incoming funds b) ensure account has sufficient funds to meet payments c) check daily the Deposit Spreadsheet for maturing Deposits d) renew deposits for appropriate period- allowing for known payments becoming due for payment e) update Deposit Spreadsheet - Preparation and input of weekly journals. A) Prepare journal entries to reflect incoming funds by either i) cheque ii) remittance advice iii) looking on bank statement Also the corresponding entry to be credited, usually to Debtors account (440) B) Prepare appropriate Expense Form for Supplier Invoice and corresponding journal entries including VAT. C) Get Expense Form authorised. D) Prepare journal entries for Maturing Deposit Interest E) Prepare journal entries for Monthly / Quarterly Direct Debits F) Input weekly journals using Systematic Account Package - Production of weekly Financial Reports using Systematic Account Package a) on completion of journal input - complete bank reconciliation (410 a/c) - agree Debtors Report (440a/c) - reconcile P&L accounts - reconcile Balance Sheet accounts b) Produce Trial Balance Report c) Produce Profit & Loss Report d) Produce Balance Sheet Report e) Close current account period , open next one. - Keep accurate records of weekly NI / PAYE payments a) Input weekly journals b) Prepare “yellow book” analysis each month, for payment purposes to HMR+C. c) Periodically reconcile P35 report to Inland Revenue 580a/c spreadsheet. d) Assisting in producing / reconciling Year End P35 return. e) Assisting in producing year end P14 / P60 Forms. - Preparing of weekly Temp P&L Report Data produced from Accounts Package- 090,201 203 a/c- then analysed on weekly basis Figures for period then supplied to Line Manager for Commission purposes Weekly BHTL figures then input onto group spreadsheet – BHAL. - Preparing of Quarterly VAT Return (599 a/c) a) Data generated through journal entries. b) Periodically through Return period, details produced from Accounts Package are analysed / entered onto VAT spreadsheet c) Quarterly return agreed and produced d) Forwarded to Accountant for verification. e) Journals produced to reflect payment. - Handling queries from Temps re payroll - Handling correspondence from HMR+C - Daily handling of Back-Up Tape and checking that back-up completed correctly. -contacting Northdoor if back –up problem. - weekly running of Tape Clean. - Negotiating with suppliers for best price o periodic ordering of supplies - POST Collection and distribution of incoming post Cover for outgoing post - Dealing with equipment problems for staff - - Handling IT issues - - Cover for Disaster Recovery Officer - - Keeping records of supplier contracts - - Producing all Company Year End reconciliations and printouts ,for Year end folder - - Keeping all Deposit Confirmations duly filed. - - Accurate sending out of Temp Contract Invoices to correspondents. - - Chasing of overdue items on Creditors report BHAL - Daily / weekly funding requirements for bank account - Preparation of Expense forms & Journals - Input of weekly journals - Reconciliation of bank account weekly(405 a/c) - Reconciliation of Debtors account (440 a/c) - Chasing of overdue Debtor Invoices - paying of supplier invoices - weekly preparation of Balance Sheet , Profit & Loss, Trial Balance reports - Preparing of Quarterly VAT Return (599 a/c) a) Data generated through journal entries. b) Periodically through Return period, details produced from Accounts Package are analysed / entered onto VAT spreadsheet c) Quarterly return agreed and produced d) Forwarded to Accountant for verification. e) Journals produced to reflect payment to HMR+C - Sending out of Permanent Placement Invoices at appropriate date. - Chasing of outstanding overdue invoices. - - Preparing monthly “yellow Book” analysis relating to HMR+C payment, and journals. - Compiling data for top 10 Depositors. - Keeping accurate filing of documents
